Privacy Policy — AAR-TC Transaction Services

Last updated: October 14, 2026

AAR-TC Transaction Services (“we,” “our,” or “us”) provides transaction coordination services for real estate professionals. This policy explains how we handle information we receive in the course of that work.

Information we collect. We collect only information you or your clients provide to us directly for the purpose of transaction coordination — property details, contract documents, contact information for parties to a transaction, and related correspondence.

How we use it. We use this information solely to perform the transaction coordination services you’ve engaged us for. We do not sell, rent, or share your information with third parties except as needed to complete the transaction (for example, submitting listing data to the MLS or sharing documents with signing parties you’ve identified).

Where it’s stored. Transaction records are stored in standard business tools we use for our operations, including Google Workspace (Gmail, Drive), Airtable, Cognito Forms, PandaDoc, and the applicable MLS platforms. Each of these providers has its own privacy and security policies.

Automated tools. We use internally-built software to assist with routine data entry and document preparation. These tools operate within our own accounts on the services listed above and do not transmit your information to any additional third parties.

Data retention. We retain transaction records for the period required by applicable real estate record-keeping rules in Virginia, and dispose of records thereafter in a manner consistent with those requirements.

Your rights. If you’d like to know what information we hold about you, correct it, or request its deletion (subject to our record-keeping obligations), contact us at agentandrewrich@gmail.com.
